ARC Builds KC Privacy Policy

    Effective date September 24, 2026

Accent Remodeling and Construction LLC, doing business as ARC Builds KC and formerly doing business as Accent Roofing Group, respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit https://arcbuildskc.com, request an estimate, use our forms or chat, communicate with us, or otherwise interact with ARC Builds KC.

    1 Scope

This policy applies to the ARC Builds KC website and to information collected through our estimate forms, scheduling tools, chat, email, text messaging, telephone calls, and related customer-service activities. It does not govern a third party's independent website or service.

    2 Information We Collect

    Information You Provide

We may collect information that you choose to provide, including:

    • Your name, telephone number, email address, mailing or project address, and preferred contact method.
    • Information about a roofing, remodeling, deck, patio, siding, painting, or other project, including photos, property details, timing, budget, and requested services.
    • Appointment requests, form submissions, chat messages, emails, reviews, survey responses, and other communications.
    • Information needed to prepare an estimate, provide customer service, maintain business records, or perform a separate service agreement.

Please do not submit Social Security numbers, financial-account credentials, medical information, or other sensitive information through a general website form or chat unless ARC specifically requests it through an appropriate secure method.

    Calls Voice Assistants and Transcripts

Calls to or from ARC Builds KC are recorded and transcribed. We may collect the audio recording, transcript, telephone number, date and time, call routing information, and details discussed during the call. Calls may be answered or assisted by an AI-powered virtual assistant. At the beginning of a call handled by the AI assistant, it will identify itself as an AI assistant and state that the call is recorded and transcribed. We use call information for scheduling, customer service, quality assurance, training, documentation, safety, and other legitimate business purposes.

If you do not want to communicate through a recorded call, you may use email or another available written method. Do not continue a telephone call if you do not want the conversation recorded and transcribed.

Chat and Other AI Assisted Communications

Our website or communication systems may use AI-assisted chat, voice, transcription, summarization, or drafting tools. We may retain prompts, messages, responses, transcripts, summaries, and related metadata so we can respond to your request, improve customer service, and maintain business records. AI-generated responses may contain errors and do not create a construction contract, warranty, or binding estimate.

    Information Collected Automatically

When you use the website, we and our service providers may automatically collect:

    • Internet Protocol address, approximate location, browser type, device type, operating system, language, and similar technical information.
    • Pages viewed, links or buttons selected, referring pages, visit dates and times, session duration, and other website-use information.
    • Cookie identifiers, pseudonymous device identifiers, campaign labels, and information about how the website performs.
    • Behavioral interaction information used for heatmaps and session replay, such as clicks, taps, scrolling, navigation, and page layout. Sensitive form content should be masked from replay tools.

    Information From Other Sources

We may receive information from referral sources, advertising or social platforms, mapping and review services, analytics providers, telephone carriers, scheduling providers, and other service providers. We may combine that information with information collected directly from you.

    3 How We Use Information

    We may use information to:

    • Respond to inquiries, schedule appointments, prepare estimates, and provide requested services.
    • Operate the website, forms, chat, telephone, text-message, email, CRM, and customer-service systems.
    • Confirm appointments, provide project or service updates, follow up on requests, and request feedback or reviews.
    • Send promotional messages when you have provided the consent required for that communication.
    • Measure search visibility, website performance, marketing effectiveness, and customer experience.
    • Detect misuse, protect the website and business, troubleshoot problems, and maintain security.
    • Comply with law, enforce agreements, preserve records, resolve disputes, and protect legal rights.
    • Create aggregated or deidentified information that does not reasonably identify an individual.

4 Cookies Analytics and Session Replay

The website may use necessary cookies and similar technologies to operate forms, remember preferences, maintain security, and provide requested features. Optional analytics and performance technologies may be controlled through the website's cookie banner where those controls are available.

    Google Services

We use Google Analytics 4 to understand website traffic and performance. Its default implementation may collect session statistics, approximate location, browser and device information, pseudonymous identifiers, and website interactions. Google Tag Manager helps us manage measurement tags but does not provide a separate analytics report. We also use Google Search Console to understand how the website appears in Google search results.

    Microsoft Services

We use Microsoft Clarity to understand how visitors use the website through behavioral metrics, heatmaps, and session replay. Clarity may use first-party and third-party cookies or similar technologies to collect interaction and technical information. We use this information to improve page design, usability, performance, security, and customer experience. We also use Bing Webmaster Tools to understand how the website appears in Bing search results.

    HighLevel

Our website, forms, scheduling, CRM, chat, telephone, and messaging functions may be provided through HighLevel or related communications providers. These services process information on ARC's behalf to deliver the functions described in this policy.

You may use the cookie banner to accept, reject, or manage optional categories when offered. Browser settings may also allow you to block or delete cookies. Blocking some technologies may limit site features or make our measurement reports incomplete. We do not currently use Google Ads, Microsoft Advertising UET, Meta Pixel, or similar advertising pixels. If we add them, we will review and update this policy and the consent configuration.

    5 Text Messages and Email

We may send informational messages about inquiries, estimates, appointments, projects, and customer service when authorized. We may send promotional messages only when we have the consent required for that type of message. SMS consent is optional and is not a condition of purchasing services. Message frequency varies and message and data rates may apply. Reply STOP to opt out of texts or HELP for help. Our SMS Terms and Conditions provide additional details.

We do not sell mobile information. We do not share mobile opt-in data or SMS consent with non-affiliated third parties for their own marketing or promotional purposes. We may share information with vendors, telephone carriers, and platform providers only as needed to deliver and support ARC's messaging program, or as otherwise required by law.

    6 How We Disclose Information

We may disclose information in the following circumstances:

    • Service providers. We use providers that support website hosting, CRM, forms, scheduling, communications, analytics, security, document storage, and business operations.
    • Contractors and business operations. Information may be shared with people or companies assisting ARC with an estimate, project, service request, or business administration when reasonably necessary.
    • Legal and safety reasons. We may disclose information when we reasonably believe it is required by law, legal process, insurance requirements, or protection of rights, property, safety, or security.
    • Business transactions. Information may be transferred in connection with a merger, financing, reorganization, sale of assets, or similar business transaction, subject to applicable law.
    • At your direction. We may disclose information when you request or authorize us to do so.

We may use or disclose aggregated or deidentified information when it does not reasonably identify you.

    7 Data Retention

We retain information for as long as reasonably necessary for the purposes described in this policy, including responding to requests, managing customer relationships, maintaining project and communication records, resolving disputes, preventing misuse, and meeting legal, tax, accounting, insurance, or contractual obligations. Retention periods vary by record type and system. We may retain limited information after an opt-out to document and honor the request.

    8 Data Security

We use reasonable administrative, technical, and physical safeguards appropriate to the information and our operations. No website, transmission, recording, or storage system can be guaranteed completely secure. You are responsible for using care when deciding what information to send through a website form, chat, email, or text message.

    9 Your Choices and Requests

Depending on the context and applicable law, you may:

    • Reply STOP to text messages and use an unsubscribe link in promotional email when one is provided.
    • Ask us to correct inaccurate contact information or update communication preferences.
    • Request access to or deletion of personal information, subject to identity verification and lawful exceptions.
